Email App Setup

Here you will find basic instructions for setting up your email app (such as Outlook, Apple Mail, iPhone, Android phone, etc.):

Set Up Email Using the iOS Mail App

  1. Go to your device's Settings, scroll down and tap Mail > Accounts >Add Account.
  2. Select Exchange.
  3. Enter your Office 365 email address, password, and a description of your account. Tap Next.
    NOTE: Your email address should be your Office 365 business account or school account. Such as @yourdomain.com, @domain.onmicrosoft.com, or @schoolname.edu.
  4. If you're prompted to enter server settings, enter the following and tap Next.
  5. Email: your full email address.
  6. Server: outlook.office365.com.
  7. Username: your full email address.
  8. Password: email account password
  9. The Mail app may request certain permissions. To agree, tap Yes. Then choose the apps you want your email account to sync with your iOS device and tap Save.
  10. Now you're all set to go!

Set Up Email in the Android Email App

  1. Update your Gmail app to the latest version: Open the Google Play Store app on your phone. Type "Gmail" into the search bar and then select Update. NOTE: If the update option is not available, you're already on the latest version.
  2. After the update is installed, tap the Gmail app icon to open it.
  3. Tap the menu icon in the upper left corner > Settings > Add account > Exchange.
    IMPORTANT: Do NOT choose "Outlook, Hotmail, and Live" unless you want to set up your account as an IMAP account.
  4. Enter your full email address and tap Next.
  5. Enter your password and tap Next.
  6. If you're prompted to enter server settings, enter the following and tap Next.
  7. Email: your full email address.
  8. Server: outlook.office365.com.
  9. Username: your full email address.
  10. Password: email account password
  11. Follow any prompts you may get, including security permissions. You may also be asked to set your sync settings and a display name.
    If you use Office 365 for business, you may also be asked to give additional security control. In this case, choose Activate.
  12. Go to your inbox. If you see a message from "Microsoft account" with a subject that starts with "Action Required," follow these steps:
    NOTE: If you don't see this message, skip this step.
  13. Tap the email message to open it.
  14. Tap the click here link to enable sync with the Gmail app.
  15. Pull down the Android notification bar by swiping down from the top of your screen.
    If you see a notification that reads "Unable to sync calendar and contacts," tap it. Then tap Allow and follow the prompts.
    NOTE: If you don't see a sync error notification, you're good to go!

Set Up Email in the Mail for Windows 10

  1. The first time you open the Mail app, you’ll see a Welcome page. Choose Add account there to get started. Otherwise, at the bottom of the left navigation pane, choose Settings > Manage Accounts> Add account.
    NOTE: On a phone or tablet, choose the three dots at the bottom of the page to access Settings.
  2. Choose Exchange.
  3. Enter the required information and choose Sign in. For most accounts, this is your email address and password.
  4. Choose Done. Your data will start syncing as soon as your account is set up.
    NOTE: It may take a few minutes for your account to synchronize. During this time, you may see Not synced yet in the message pane.

Set Up Email on Blackberry

You can connect to your Office 365 for business email, or other Microsoft Exchange-based email on a BlackBerry® device. It's important to know your setup options before you add your work or school account account to your BlackBerry.

  • If you're using a BlackBerry 10 device, set up your email using Microsoft Exchange ActiveSync. Exchange ActiveSync lets you synchronize your email, calendar, and contacts, tasks, and memos.
  • If you're using a BlackBerry 7 or an earlier device, you can set up a POP3 or IMAP4 connection to your account. This means you will only be able to sync email on your device.

Set Up Exchange ActiveSync Email on a Blackberry 10 Device

If you're using BlackBerry 10, set up your account using Exchange ActiveSync. Exchange ActiveSync lets you synchronize email, calendar, contacts, tasks, and memos with your account. In most cases, your device will set up your account in just a few simple steps.

  1. On the BlackBerry 10 home screen, select Settings.
  2. On the System Settings page, select Accounts. If you haven't yet created any accounts, select Add Account.
  3. On the Add Account page, select Email, Calendar, and Contacts.
  4. Type your email address and select Next.
  5. Type your password and select Next. The Looking up connection information message displays. Your device tries to set up your email account automatically. If it finds your connection information, specify the information you want to synchronize with your account, and select Done. You will see your account listed on the Accounts list. Go to the BlackBerry Hub to access your email account. If it can't set find your connection information, you'll see a message recommending that you use advanced setup steps. If this is the case, see the next procedure.

Set Up Pop or Imap Email On A Blackberry 7 Or Earlier Device

  1. From the BlackBerry® home screen, select BlackBerry Setup > Set up Internet E-mail > Add An Email Account.
  2. Type your email address and password, and then select Next.
  3. Your BlackBerry will try to set up your email account automatically. If setup completes successfully, skip to the next step. If your email account can't be configured automatically, do the following:
    1. Select I will provide the settings to add this email account.
    2. Scroll down, and then select Next.
    3. Select Internet Service Provider Email (POP/IMAP), and then select Next.
    4. Type your full email address for your user name (for example, tony@contoso.com).
    5. Scroll down and type the name of your email server. If you’re connecting to your Office 365 email, the IMAP or POP server name is outlook.office365.com. If you’re not using Office 365, see Find your POP and IMAP server settings later in this article.
    6. Select Next.
    7. Enter the name of the outgoing server. If you’re connecting to your Office 365 email, the SMTP server name is smtp.office365.com. If you’re not using Office 365, see Find your POP and IMAP server settings later in this article.
  4. Select OK to complete the setup.

Find Your Pop and Imap Server Settings

If you’re connecting to your Office 365 email, the server name for IMAP and POP is outlook.office365.com and the server name for SMTP issmtp.office365.com.
