- Interpreter at Flagler College ASL interpreters should be requested for any event or meeting involving ASL users or open to the broader college or local community to ensure inclusive access and accessibility.
- An interpreter should be requested when an ASL user is participating, or when the event is open to the entire Flagler College community or the greater St. Augustine community.

Process and Timeliness of Requesting an ASL Interpreter:
Interpreter requests should be submitted as soon as the event is scheduled, with a minimum lead time of 72 hours, though earlier submission is highly recommended.

How to Complete the Interpreter Request Form:
Providing detailed and accurate information on the ASL interpreter request form ensures the best possible accessibility and preparation for the event.
The form requires comprehensive details about the event and contacts.
- Event Details: Enter the date, start time, meeting, outdoors/indoors) to assist in preparing for the event.
- Deaf and Hard-of-Hearing Clients: List the client's name if known. For events open to the campus or community, this information can be included. Knowing the client's name for specific requests helps provide the best accessibility.
- Event Format: Indicate if the event is live, online, or both (e.g., in-person with a Zoom/Teams link).
- Physical Location and/or Web Address: Be detailed for in-person events, including building, floor, room number, and any other pertinent directions. For online events, include the web address.
- Requester Information: As the person completing the form, provide your name, Flagler email address, and phone number. A mobile number is recommended for unexpected changes or last-minute questions.
- Department: Enter your department.
- Secondary Contact: Provide the name and phone number of a secondary contact person who is also knowledgeable about the event details.
- Upload Pertinent Information: Upload documents such as the agenda, program, or names of speakers to help the interpreter adequately prepare. More information leads to a better experience for everyone.

Cancellation Policy and Resource Stewardship
Cancellations should be communicated to the interpreter coordinator immediately, providing at least 24 hours' notice, to avoid unnecessary costs to the college. If cancellation occurs without a 24 hour notice, the interpreter will still be compensated for the originally scheduled time, resulting in monetary loss for the college.
