Sport Management Association
2004-2005

Article I- Mission Statement

The purpose of the Sport Management Association is to provide students with hands-on experience in community and on-campus activities, while allowing members to gain field knowledge and networking opportunities.

Article II- Membership

Section 1
All full-time Flagler College students with an interest in the sport field are accepted.

Section 2
A member in good standing has a cumulative GPA of at least 2.0, or is a transfer/new student in good academic standing with the College.

Article III- Organization


Section 1
The Sport Management Association shall have five permanent officers: President, Vice President, Secretary, Alumni Representative, and Public Relations Officer. The Association will also have 1 interim position with a trial period of one year: Professional Development Representative. The Association will also have a faculty advisor.

A. The President shall:
  1. Preside at all meetings of the Association.
  2. Be responsible for maintaining an orderly meeting.
  3. Represent the Association and members on a special occasion, or delegate responsibility  to another officer.
  4. Have the right to call special meetings.
  5. Appoints the members of all sub-committees.
  6. Establish written agenda for each meeting.
  7. Be responsible for all other officers, if not present.
  8. Attend freshman orientation and both fall and spring visitations.
B. The Vice President shall:
  1. Perform all duties of the President when he/she is unable.
  2. Fill in for any officer who is unable to attend a meeting.
  3. The official liaison between members and officers.
  4. Required to attend all InterClub Council meetings, and communicate information  to Association.
  5. Maintain a financial record of the Association including monthly balance, income and expense reports.
  6. Keep copies of all receipts and deposits.
  7. Report financial status at every meeting.
  8. Ensure Association maintains active club status with the College.
  9. Attend freshman orientation and both fall and spring visitations.
C. The Secretary shall:
  1. Keep the minutes of all Association meetings.
  2. Keep attendance at all Association meetings and events.
  3. Maintain a record of all Association activities.
  4. Be responsible for filing all Association documentation.
  5. Maintain the Association’s point system.
  6. Report previous meeting’s issues.
  7. Attend freshman orientation and both fall and spring visitations.
D. The Alumni Representative shall:
  1. Keep a record of phone numbers, addresses, and email addresses for all Sport  Management graduates.
  2. Maintain contact with all alumni.
  3. Oversee alumni newsletter, which is distributed each semester.
  4. Develop website in cooperation with Professional Development Representative.
  5. Keep in constant contact with the alumni office.
  6. Report at each meeting.
  7. Attend freshman orientation and both fall and spring visitations.
E. The Public Relations Officer shall:
  1. Publicize all Association meetings and events.
  2. Be responsible for newsletters, emails, posters, and mailbox reminders.
  3. Take pictures at all Association events.
  4. Keep scrapbook of events.
  5. Keep in contact with Gargoyle regarding events.
  6. Report at each meeting.
  7. Attend freshman orientation and both fall and spring visitations.
F. The Professional Development Representative** shall:
  1. Develop relationships with local businesses.
  2. Secure one speaker per month for Association meetings.
  3. Inform members of upcoming seminars, fairs, and workshops.
  4. Develop fundraising opportunities for the Association.
  5. Develop website in cooperation with Alumni Representative.
  6. Be responsible for writing thank-you notes and other correspondence.
  7. Attend freshman orientation and both fall and spring visitations.
G. The Faculty Advisor shall:
  1. Act as an advisor and mentor to officers.
  2. Ensure Association activities and actions are in accordance with Flagler College  policies.
  3. Be present at functions and activities.

Section 2
All members in good standing have the right to vote on any issue.
Section 3

The officers will meet weekly.

**This position is an interim position with a trial period of one year.

Section 4
Committees will be created by the executive board to research, organize, and help plan events.


Article IV - Elections, Tenure, Candidicy, And Restrictions Of Officers


Section 1
Any candidate for an officer position must be a full-time student in good standing entering at least their second semester at Flagler College.

Section 2
A candidate for the position of President must be entering at least their second semester of sophomore year.

Section 3
A call for officers will be made in April. Speeches and elections will also be held in April.

Section 4
All candidates shall make election speeches during the first April meeting. A vote will be taken by secret ballot.

Section 5
The Faculty Advisor and Secretary shall count the ballots. All election calculations are confidential and shall not be revealed.

Section 6
The newly elected officers will serve from the beginning of the fall semester until the end of the spring semester.

Section 7
Past officers will be responsible for training new officers and handing over all documents. This will take place at the last scheduled meeting of the year, which will be Executive Board only.

Article V- Removal/ Resignation Of Officers

Section 1
Any officer can be removed for not performing duties, breaching Flagler College policy, or acting in any unethical manner with regard to professional standards.

Section 2
In case the President is removed from officer for any reason, the Vice President may assume leadership, and all responsibilities to complete the term.

Section 3
If any officer resigns or departs during their term, the faculty advisor and remaining members of the Executive Board will appoint a replacement.

Section 4

If an active member has a complaint about an Association officer, other than the President or Vice President, in the area of leadership, character, or performance, he/she will submit the complaint in writing to the President or Vice President. If there is a complaint about the President or Vice President, the complaint must be submitted to the faculty advisor in writing. Once a complaint is filed, a hearing will occur between:
1. Advisor and officers not involved
2. Officer charged
3. Person who filed the complaint
At this meeting, evidence must be presented and explained to the committee. If a unanimous decision is not reached, no action can be taken against the officer.

Article VI- Meetings


Section 1
Meetings will be held twice a month, unless additional meetings are necessary. Officers should attend every meeting. If an officer is unable to attend a meeting, the officer must have all responsibilities completed by another officer.

Article VII- Amendment Procedure


Section 1
These by-laws may be amended with a three-fourths majority vote by the general members.

Section 2
All articles and amendments must be in accordance with school, state and district laws.
